Getting started

How do I log in?

Use the login link and email from your welcome email. On your phone, install the free LeadConnector app and sign in with the same email and password.

Where do I add my logo and company details?
  1. Click Settings (bottom left).
  2. Open Business Profile.
  3. Upload your logo and confirm your business name, address, phone and website.
  4. Click Save.

License, markup, labor burden, retainage and warranty term are entered with you during the kickoff.

What do I bring to my kickoff call?

Your logo, your license number(s) and one sample estimate or price list. Book your kickoff here if you have not yet.

How do I add a team member?
  1. Settings > My Staff (or Team).
  2. Click Add Employee.
  3. Enter their name and email, pick their role and permissions, and save. They get a login email.

Leads and contacts

How do I add a new lead?
  1. Open Contacts and click Add Contact.
  2. Enter name, phone and email.
  3. Pick the job type and save.

Leads from your Request a Quote form land in the pipeline on their own, at the New Lead stage.

How do I import my existing contacts?
  1. Export your list from your old system or phone as a CSV file.
  2. Contacts > Import, upload the file and match the columns (name, phone, email).
  3. Add a tag such as "imported" so you can find them later.

Imported contacts do not get automatic texts until they have agreed to receive them.

What are tags and should I use them?

Tags are labels on a contact, like a colored sticker on a plan set. OpsHUB adds some on its own (for example when a job is lost). You can add your own to group contacts, such as "repeat customer" or "Spring 2027".

Pipeline and Work Stages

How does the pipeline work?

Every job moves through Work Stages, from FW1 New Lead to RB3 Aftercare. Think of it like the phases on a schedule: each stage has its own tasks and follow-up that start automatically.

  • FW (find work): New Lead, Qualified
  • WW (win work): Site Visit, Estimating, Estimate Sent, Won
  • RW (run work): Contract & Deposit, Compliance & Prep, Scheduled, In Progress, Punch
  • RB (relationship building): Closeout Docs, Final Invoice, Aftercare
How do I move a job to the next stage?
  1. Open the contact.
  2. Change the Work Stage dropdown to the new stage.
  3. Save. The tasks and emails for that stage start on their own.

Moved it by mistake? Change it back. OpsHUB notes the rollback and moves the opportunity back too.

Where do I see all my open jobs?

Opportunities > Pipelines > OpsHub Work Pipeline. Drag a card to another column or open it to see details and the dollar value.

A job was lost. What happens?

Mark the opportunity Lost and fill in the Lost Reason. OpsHUB creates a reminder to re-engage that customer in 90 days.

Estimates and pricing

How do I send an estimate?
  1. Open the lead and start a new estimate (Payments > Estimates also works).
  2. Your CSI-coded line items are already in the list. Pick the items and adjust quantities.
  3. Check the clarifications and exclusions, then click Send.

When an estimate sits unopened, OpsHUB follows up with the customer for you.

Why do my line items show $0?

Every trade edition starts with prices at $0 so nothing goes out with someone else's numbers. We load your prices during the kickoff. To change one later: Payments > Products, open the item, edit the price, save.

How do I change my estimate terms?

Your trade's clarifications and exclusions are reviewed with you at the kickoff. To edit them later, open your estimate template and change the terms section, then save. Ask Ro if you are unsure which clause to change.

The customer accepted. Now what?

Move the job to WW5 Won — Contract Pending. OpsHUB sets up the contract step and deposit reminders.

Contracts, change orders and closeout

How do I send a contract?

Payments > Documents & Contracts (or Sites > Documents). Pick the agreement template that fits the job, fill in the job details and send it for e-signature. When it is signed and the deposit is in, move the job to RW1 Contract & Deposit.

How do change orders work?

Send the customer your Change Order Request form, or fill it in for them. OpsHUB creates a task to price it and emails the customer that you received it. Get the signed change order before doing the work.

How do I handle closeout and lien waivers?

Move the job to RB1 Closeout Docs. OpsHUB creates tasks for the warranty letter, conditional final lien waiver and closeout transmittal. Final invoice reminders start at RB2.

Texts, emails and phone

Why can't I send text messages yet?

US carriers require business text registration (A2P 10DLC) before texts go out. We walk you through it at the kickoff. You approve the registration and pay for the phone number. Approval usually takes a few days to a few weeks.

How do I connect my business email?

Settings > Email Services. Connecting your own domain makes your emails land in the inbox instead of spam. We set this up together during the kickoff.

Can I turn off an automatic email?

Yes. Automation > Workflows, open the workflow, and switch it to Draft. Ask Ro first if you are not sure what it does. Some steps keep jobs from falling through the cracks.

Billing and your account

When does billing start?

Your subscription starts after your 30-day free trial. On a monthly plan the one-time setup fee is charged at checkout. On an annual plan the setup fee is waived.

How do I switch to annual?

Reply to any email from Ro or use the pricing page. Annual saves two months.

What is Ro Support?

An optional add-on for +$200/mo: same-business-day answers and a monthly 30-minute working session with Rowena Tulacz.

How do I cancel?

Reply to any email from Ro and say "cancel". Export your contacts first if you want a copy (Contacts > select all > Export). Your data is kept for 30 days in case you come back.
